FieldProofPro ("the App") is a driver audit tool for vending and micro-market operators. This policy explains what data the App handles, where that data goes, and the choices you have. Questions? Email us at info@fieldproofpro.com.
1 Who operates FieldProofPro
FieldProofPro is a client application. Each business ("the Operator") that uses FieldProofPro runs their own FieldProofPro server on their own local network to store audit records and manage user accounts.
2 Accounts and authentication
To use the App, you sign in with a username and PIN issued by your Operator. These credentials are verified against your Operator's server. A session token is stored on your device to keep you signed in.
If your device cannot reach the server, the App can verify a previously used PIN offline using a salted, hashed copy of that PIN stored on the device — the PIN itself is not stored in plain text.
3 What data the App handles
When you create an audit, the App handles the information you enter, which may include:
- Driver name, location, and auditor name (free-text you type)
- Compliance answers, ratings, penalties, notes, and equipment notes
- Photos you attach to an audit
- The date of the audit
4 Where your data is stored and sent
- On your device: Audit records and attached photos are stored locally so the App works offline.
- On your Operator's server: When your device is connected to the same local network as your Operator's server, the App syncs your audits — including audit fields, names, notes, and photos — to that server so your Operator can review and retain them. This is a core function of the App.
5 On-device AI (Generate Summary)
The "Generate Summary" feature uses Apple's on-device intelligence (FoundationModels) to produce a written performance summary from a driver's audit history.
If on-device AI is unavailable, the App produces a plain statistical summary instead.
6 Permissions the App requests
- Camera — requested only when you choose to take a photo for an audit. Photos are stored on your device and synced to your Operator's server per Section 4.
- Local Network — requested so the App can connect to your Operator's audit server on your local network to sync data.
- Location — the App does not use device location. The "Location" field in an audit is free text you type; no GPS or location services are accessed.
7 Tracking and analytics
The App does not include third-party analytics, advertising SDKs, tracking, or telemetry. The App does not collect device identifiers for tracking.
8 Data retention and your choices
- On your device: Deleting the App removes the audit data and photos stored locally on your device.
- On your Operator's server: Data that has been synced is retained and controlled by your Operator. To access, correct, or delete audit data held on the server, contact your Operator, who is the party responsible for that data.
9 Website (fieldproofpro.com)
Our marketing website is separate from the App and uses:
- Netlify — web hosting; maintains standard server logs for infrastructure and security purposes. See Netlify's privacy policy.
- Formspree — processes contact-form submissions you send us. See Formspree's privacy policy at formspree.io/legal/privacy-policy.
If you email us or submit the contact form, we use the information you provide only to respond to you. To request access to or deletion of contact information you have sent us, email info@fieldproofpro.com; we aim to respond within 30 days.
10 Security
Credentials are transmitted to your Operator's server over your local network, and PINs are stored on your Operator's server in hashed form. Because Operators run servers on their own local networks, the security of that server and network is the Operator's responsibility.
11 Children
FieldProofPro is a tool for business professionals and is not directed to, and does not knowingly collect data from, children under 13.
12 Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page.
